Main responsibilities and duties of the post

  1. Gathering necessary information for research and preparing reports.
  2. Assisting in research studies conducted by the school. These include detailed financial accounts, financial statements, administrative matters, and organisational studies.
  3. Assisting in compiling procedures and plans to be implemented in the school to simplify and facilitate school operations.
  4. Reviewing detailed account reports compiled by the school to ensure that such reports are prepared in accordance with laws, regulations and principles.
  5. Working with various departments of the school to resolve pending issues and to improve the services of the school.
  6. Maintaining and organizing driver records and files, ensuring that those items are maintained in a secure manner, and completing all legal procedures required in maintaining those items.
  7. Providing assistance to school staff in administrative matters.
  8. Maintaining online portal tasks.
  9. Monitoring staff attendance on a day-to-day basis and preparing monthly attendance reports, as well as preparing fortnightly reports on the 16th of each month and maintaining staff salaries and leave matters and preparing leave sheets.

10. Writing and preparing correspondence, messages and other items related to staff employment and sending them. And requesting necessary information to advertise for vacant posts required by the school and, upon the closure of the application deadline for advertised posts, preparing interview forms and sending all necessary documents required for confirming employment to the education unit.

11. Maintaining staff registry. In this manner, updating and completing the registry with information of staff newly appointed to the post and staff who have left or transferred the post as specified in the form.

12. Preparing and maintaining the personal files of staff, keeping them updated in accordance with regulations.

13. Maintaining records of data required for establishing organisational policies.

14. Confirming that all teachers work in compliance with all required registrations to be completed by law.

15. Providing assistance in matters related to teaching and instruction at the school, monitoring staff performance and carrying out all related matters in accordance with guidelines issued by the Ministry of Education / Civil Service.

16. Updating and maintaining the school's staff registry.

17. Maintaining online portal tasks.

18. Undertaking all administrative tasks assigned in relation to managing staff attending leave on administrative grounds.

19. Updating staff records in C.S. View.

20. In addition to assigned matters, in large-scale matters assigned on a special basis and general basis, and in routine matters assigned on a particular basis, performing work with care and diligence according to guidance from superiors.

(b) Copies of educational certificates and transcript issued by local educational institutions in Maldives; or copies of letter confirming completion of the course and copies of transcript.

6- Copies of documents relevant to the following categories demonstrating work experience:

(a) If work experience has been gained in a civil service post, in a state institution, in a government-owned company, a letter from that office stating the work undertaken, the period of work (in years, months and days), and the responsibilities of the post (if work has been undertaken in different posts in one institution, the responsibilities should be stated separately for each).

(b) For work experience within the civil service that cannot be verified from https://myaccount.csc.gov.mv/, a letter from that office stating the work undertaken and the period (in years, months and days) confirmed by that office, and stating the responsibilities of the post (if work has been undertaken in different posts in one institution, the responsibilities should be stated separately for each).

(c) If work experience has been gained in a private company or private organisation, a letter from that organisation stating the work undertaken, the period of work (in years, months and days), the responsibilities of the post (if work has been undertaken in different posts in one institution, the responsibilities should be stated separately for each) and the number of staff at the workplace.

(d) If work has been undertaken in a national or international association or society, a letter from that organisation stating the work undertaken, and the period (in years, months and days), and the responsibilities of the post (if work has been undertaken in different posts in one institution, the responsibilities should be stated separately for each). This letter should state whether the position held is a salaried position or not, or alternatively, an official letter from that organisation confirming this.

(e) If work has been undertaken in a dissolved state institution, or in a dissolved private company or private organisation, or in a dissolved national or international society or association, and a letter from that office stating the work undertaken and the period of work (in years, months and days) and the responsibilities of the post (if work has been undertaken in different posts in one institution, the responsibilities should be stated separately for each) cannot be obtained, the "Reference Check Form for Work Experience from a Dissolved Workplace" found in Table 8 of the Recruitment Rules.
