Main responsibilities and duties of the post
- Reviewing communications, memos and reports sent to the main office from branch offices, and preparing and sending responses to sections concerned with those matters.
- Checking payment vouchers from branch offices and posting them in the SAP system, and performing work necessary to send to the Ministry of Finance and Public Enterprises.
- Coordinating with branch offices and the Ministry of Finance to resolve issues arising in relation to payment vouchers, and maintaining and safekeeping documents related to these matters.
- Checking petty cash, other expenses and budget statements of branch offices, and performing work necessary for disbursing funds from the budget and budget control.
- Checking reports of income received by branch offices and expenses made by the offices, and reconciling accounts.
- Assisting in obtaining financial authorization in accordance with financial regulations for things and services required by branch offices, and assisting with procurement matters.
- Updating asset registers of branch offices in accordance with financial regulations, and checking and obtaining related reports.
- Responding to official inquiries made by branch offices through telephone, email, message and communication, and providing assistance necessary for the administrative and financial work of the offices.
- Assisting by coordinating with relevant sections of the main office in resolving issues and problems arising in work carried out daily in branch offices.
- Preparing and sending communications, memos, notes, reports and other official documents that the main office needs to send in relation to the work of branch offices.
- Checking salary sheets prepared and sent by branch offices and posting them in the SAP system.
- Assisting in settling administrative matters related to employees of branch offices.
- Participating in training, workshops and other programmes run by the Authority in relation to branch offices, and assisting with administrative and coordination work of those programmes.
- Compiling, updating and maintaining databases, records, trackers and files related to assigned work, and preparing and maintaining information necessary for financial and annual reports.
- Working to ensure that office matters are conducted in accordance with law and regulations, promoting active engagement in conducting office work, providing assistance in improving office tasks, and working to create a proper working environment.
- Carrying out other official tasks related to the office assigned by the office.
Requirements of the post
- Possession of a qualification at Level 7 or 8 of the Maldives National Qualification Framework relating to the tasks of the post.

- Copies of educational certificates obtained;
(a) For educational certificates issued by institutions outside Maldives that have been graded by the Maldives Qualifications Authority at a certain level, copies of the educational certificate and transcript; or: in cases where there is no certificate, a copy of the letter confirming completion of the course and a copy of the assessment report and transcript issued by the Maldives Qualifications Authority.
(b) Copies of educational certificates and transcript issued by local educational institutions in Maldives; or copies of letter confirming completion of the course and copies of transcript.
- Copies of documents covering the following criteria providing work experience:
(a) If work experience has been gained in a civil service post, in a state institution, in a government-owned company, a letter from that office stating the work undertaken, the period of work (in years, months and days), and the responsibilities of the post (if work has been undertaken in different posts in one institution, the responsibilities should be stated separately for each).
(b) For work experience within the civil service that cannot be verified from https://myaccount.csc.gov.mv/, a letter from that office stating the work undertaken and the period (in years, months and days) confirmed by that office, and stating the responsibilities of the post (if work has been undertaken in different posts in one institution, the responsibilities should be stated separately for each).
(c) If work experience has been gained in a private company or private organisation, a letter from that organisation stating the work undertaken, the period of work (in years, months and days), the responsibilities of the post (if work has been undertaken in different posts in one institution, the responsibilities should be stated separately for each) and the number of staff at the workplace.
(d) If work has been undertaken in a national or international association or society, a letter from that organisation stating the work undertaken, and the period (in years, months and days), and the responsibilities of the post (if work has been undertaken in different posts in one institution, the responsibilities should be stated separately for each). This letter should state whether the position held is a salaried position or not, or alternatively, an official letter from that organisation confirming this.
(e) If work has been undertaken in a dissolved state institution, or in a dissolved private company or private organisation, or in a dissolved national or international society or association, and a letter from that office stating the work undertaken and the period of work (in years, months and days) and the responsibilities of the post (if work has been undertaken in different posts in one institution, the responsibilities should be stated separately for each) cannot be obtained, the "Reference Check Form for Work Experience from a Dissolved Workplace" found in Table 8 of the Recruitment Rules.

Note: Appointment to the post shall be made only if the applicant has obtained a minimum of 60 points out of the total points of all criteria required for the job.
