Main responsibilities and duties of the post
- Provide assistance to the Principal in carrying out the administrative responsibilities of the Principal's duties. In this manner, work with the Principal in implementing the principles and plans that the school operates on, and assist in moving the school's work forward smoothly and in an orderly manner.
- Managing the administrative support duties performed daily for the principal. Accordingly, meeting the principal each day to arrange the schedule of that day in order of priority, identifying expenditure-incurring matters, and carrying them out through an established procedure.
- Welcoming visitors to the school; answering phone calls and routing such calls to the relevant party; taking messages and passing them on to those who need to respond; clarifying school procedures; providing information on school programmes.
- Coordinating the arrangement of substitutes on days teachers are absent; preparing timesheets and substitute folders for substitute teachers; providing timetables to substitute teachers; maintaining logs of days teachers are absent and monitoring substitute teachers' timesheets; informing those who must be notified on teacher absence days in line with established procedures.
- Forwarding emails received on the school's official email to the relevant staff and replying to emails requiring a response; drafting and completing citizens, lists, reports, flyers, forms and similar varied documents with feedback from relevant parties; proofreading materials issued by the school; preparing and properly maintaining reports, files and data relating to students, staff and school management.
- Processing enrolment of new students to the school and records of students transferring from the school; updating records once the academic term ends.
- Keeping student grades and transcript information updated and maintained; responding to student records and transcript requests; preparing and maintaining student files.
- Managing and coordinating dealings between the principal, staff, students, guardians and the community in accordance with school board policies and procedures; resolving issues arising in line with established procedures or referring such matters to the Administrator.
- Maintaining the principal's calendar and schedule. Accordingly, arranging appointments requested by teachers, students, guardians and community members; managing meetings with various groups and organisations; handling room bookings for meetings.
- Maintaining staff evaluation logs, and scheduling and coordinating evaluation appointments.
- Evaluating applications submitted for the post and scheduling interviews, preparing the documents required for interview sessions; carrying out tasks required when new staff begin work.
- Coordinating and running emergency and crisis preparedness drills with relevant parties; dealing with the police in matters such as bullying, theft and similar offences.
- Participating in scheduling and coordinating field trips, information sessions for guardians, fairs, concerts, graduations and similar events; procuring items for such events, informing participants and collecting fees.
- Carrying out school financial record-keeping tasks; maintaining records of funds received as assistance; processing requisitions and maintaining requisition order reports.
- Maintaining an inventory of school building and classroom assets.
- Issuing identification cards and alarm codes to school staff in line with established procedures; maintaining security information files.

Holding a Level 4 certificate from the Maldives National Qualifications Framework in a field related to the duties of the post.

(a) If work experience has been gained in a civil service post, in a state institution, in a government-owned company, a letter from that office stating the work undertaken, the period of work (in years, months and days), and the responsibilities of the post (if work has been undertaken in different posts in one institution, the responsibilities should be stated separately for each).
(b) For work experience within the civil service that cannot be verified from https://myaccount.csc.gov.mv/, a letter from that office stating the work undertaken and the period (in years, months and days) confirmed by that office, and stating the responsibilities of the post (if work has been undertaken in different posts in one institution, the responsibilities should be stated separately for each).
(c) If work experience has been gained in a private company or private organisation, a letter from that organisation stating the work undertaken, the period of work (in years, months and days), the responsibilities of the post (if work has been undertaken in different posts in one institution, the responsibilities should be stated separately for each) and the number of staff at the workplace.
(d) If work has been undertaken in a national or international association or society, a letter from that organisation stating the work undertaken, and the period (in years, months and days), and the responsibilities of the post (if work has been undertaken in different posts in one institution, the responsibilities should be stated separately for each). This letter should state whether the position held is a salaried position or not, or alternatively, an official letter from that organisation confirming this.
