Main responsibilities and duties of the post

  1. To fully implement the resolutions passed by the Council and to carry out, under the guidance of the Secretary General or the Supervisor, all administrative actions required in implementing such resolutions.
  2. To be fully accountable to the Council and the Secretary General for all matters relating to the Secretariat's work and the implementation of Council resolutions.
  3. All administrative and technical works of the Council office must be carried out under the guidance of the Supervisor.
  4. To plan, manage and oversee, under the guidance of the Supervisor, all work on delivering services that the Council must provide under Law No. 2010/7 (Law on the Decentralised Administration of the Maldives Administrative Divisions).
  5. Carrying out work related to conducting studies required by the Council and compiling reports.
  6. To monitor the progress of service delivery to those who come to the Council Secretariat for services, ensure service quality is good, and arrange matters so that services can be provided quickly.
  7. The Council Administration shall be opened in accordance with a principle set by the Council Administration.
  8. To work at the Council Bureau, attend Council meetings, and maintain the Council Bureau's records.
  9. To sign and file the minutes of official Council meetings and of other Council meetings.

10. To prepare Council resolutions and to share them with sections and file them for the implementation of resolutions.

11. To prepare the register and attendance report of Council members and send them to the relevant parties before the 18th of each month.

12. To arrange appointments for the Mayor, Councillors and those who are to meet them.

  1. 13. To organise official trips made by the Mayor and take part in official trips in line with the Mayor's wishes.

14. To prepare records relating to Council work for media and sharing, day by day, in the manner announced by the Council.

15. To coordinate all Council international relations matters, prepare letters to be sent to those parties, prepare proposals in line with the Council's wishes, and share them with those parties.

16. To prepare the documents or other information needed for meetings and sessions attended by the Council Mayor, under the guidance of the Mayor and the Supervisor.

17. To prepare replies to cities linked to the Bureau that the Secretariat receives, in line with the Mayor's wishes, and send them to those parties.

18. To clean the Mayor's office, the Deputy Mayor's cabin, the Councillors' cabins, the meeting room, the chamber room and the office waiting area.

Requirements of the post

1- Along with holding a Level 3 Maldives National Qualifications Framework certificate from a field related to the post's work, having obtained a grade of 'C' or above in the 'Dhivehi' subject in the Secondary School or Higher Secondary School Certificate examination.

2- Having obtained a grade of 'C' or above in the 'Dhivehi' subject in the Secondary School Certificate examination, along with having obtained a grade of 'D' or above in at least 2 subjects in an examination equivalent to or higher than Senior Secondary level.

Scope of duties of the post

Administrative technical work related to the post and research work and administrative work

Documents to submit

  1. Completed application form (The form can be obtained from the counter of this administration.)
  2. Details of the applicant (including contact phone number and email address).
  3. A readable copy of both sides of the card proving that the applicant is a Maldivian citizen (even if the validity period has expired), or if the ID card is lost, the applicant's birth certificate, passport or driving licence.
  4. If a staff member with a service agreement to serve the Civil Service / Government is transferred to this position, a letter issued by the office providing the service stating that there is no objection to leaving the position.
  5. Copies of educational certificates obtained;

(a) For educational certificates issued by institutions outside Maldives that have been graded by the Maldives Qualifications Authority at a certain level, copies of the educational certificate and transcript; or: in cases where there is no certificate, a copy of the letter confirming completion of the course and a copy of the assessment report and transcript issued by the Maldives Qualifications Authority.

(b) Copies of educational certificates and transcript issued by local educational institutions in Maldives; or copies of letter confirming completion of the course and copies of transcript.

  1. Copies of documents covering the following criteria providing work experience:

(a) If work experience has been gained in a civil service post, in a state institution, in a government-owned company, a letter from that office stating the work undertaken, the period of work (in years, months and days), and the responsibilities of the post (if work has been undertaken in different posts in one institution, the responsibilities should be stated separately for each).

(b) For work experience within the civil service that cannot be verified from https://myaccount.csc.gov.mv/, a letter from that office stating the work undertaken and the period (in years, months and days) confirmed by that office, and stating the responsibilities of the post (if work has been undertaken in different posts in one institution, the responsibilities should be stated separately for each).

(c) If work experience has been gained in a private company or private organisation, a letter from that organisation stating the work undertaken, the period of work (in years, months and days), the responsibilities of the post (if work has been undertaken in different posts in one institution, the responsibilities should be stated separately for each) and the number of staff at the workplace.

(d) If work has been undertaken in a national or international association or society, a letter from that organisation stating the work undertaken, and the period (in years, months and days), and the responsibilities of the post (if work has been undertaken in different posts in one institution, the responsibilities should be stated separately for each). This letter should state whether the position held is a salaried position or not, or alternatively, an official letter from that organisation confirming this.

(e) If work has been undertaken in a dissolved state institution, or in a dissolved private company or private organisation, or in a dissolved national or international society or association, and a letter from that office stating the work undertaken and the period of work (in years, months and days) and the responsibilities of the post (if work has been undertaken in different posts in one institution, the responsibilities should be stated separately for each) cannot be obtained, the "Reference Check Form for Work Experience from a Dissolved Workplace" found in Table 8 of the Recruitment Rules.
