Main responsibilities and duties of the post

  1. Preparation and sending of necessary documents to certain parties.
  2. Recording daily and meeting minutes.
  3. Preparation and submission of daily, weekly, monthly and annual administrative reports within the required timeframe.
  4. Preparation and submission of replies to letters received relating to hospital and health centre staff and other related matters, and filing of documents.
  5. Preparing and submitting job descriptions for employees and job agreements, and providing all necessary changes related to these matters.
  6. Completion and maintenance of employee records.
  7. Maintenance of all administrative documents in files in accordance with prescribed regulations and with proper safeguarding.
  8. Carrying out work to match staff for positions required by the hospital and health centres under the hospital.
  9. Arrangement of necessary facilities in accordance with the assigned nurse in charge for the health centre to function in the work of visiting health teams.

10. Opening and closing of office during official hours and completion of records.

11. Preparation of salary sheets by compiling necessary written information and data required for payment of salaries to the hospital and hospital staff, and completion of salary matters within the set timeframe.

12. Maintenance of employee leave matters and provision of daily leave records to be checked daily.

13. Assistance in the process of procurement of items required by the hospital.

14. Assistance in outreach programmes run by the hospital's Public Health Unit.

15. Placement of all necessary information and regulations required by the hospital for the public on the health centre's notice board in a manner that is understandable to the public.

16. Preparation of announcements required by the hospital for positions, gazette publication, and review of applications from job seekers.

17. Performance of all administrative work that needs to be done in connection with announcements made by the hospital and the recruitment of staff.

18. Resolution of all issues arising in relation to employee attendance.

19. Maintenance of employee annual leave schedules, and confirmation that a replacement staff member has been assigned to perform the work before an employee goes on leave.

20. Maintaining good communication between employees and management, to see employee complaints and difficulties encountered in work, and to provide support to the supervisor to resolve such matters.

21. Although additional duties that the hospital should provide support to the employee in performing responsibilities may not be included in the job description, if such support is needed by the hospital in performing the services to be provided by the hospital with dedication, the employee shall fully perform the additional duties assigned by the hospital.

22. Practical participation in work to be done during health emergencies, pandemics and disasters.

  1. Possession of a Diploma at Level 5 or an Advanced Diploma/Associate Degree at Level 6 in the National Qualifications Framework of the Maldives in an educational field related to the duties of the post.

Documents to submit

(a) For educational certificates issued by institutions outside Maldives that have been graded by the Maldives Qualifications Authority at a certain level, copies of the educational certificate and transcript; or: in cases where there is no certificate, a copy of the letter confirming completion of the course and a copy of the assessment report and transcript issued by the Maldives Qualifications Authority.

(b) Copies of educational certificates and transcript issued by local educational institutions in Maldives; or copies of letter confirming completion of the course and copies of transcript.

Copies of documents covering the following criteria providing work experience:

(a) If work experience has been gained in a civil service post, in a state institution, in a government-owned company, a letter from that office stating the work undertaken, the period of work (in years, months and days), and the responsibilities of the post (if work has been undertaken in different posts in one institution, the responsibilities should be stated separately for each).

(b) For work experience within the civil service that cannot be verified from https://myaccount.csc.gov.mv/, a letter from that office stating the work undertaken and the period (in years, months and days) confirmed by that office, and stating the responsibilities of the post (if work has been undertaken in different posts in one institution, the responsibilities should be stated separately for each).

(c) If work experience has been gained in a private company or private organisation, a letter from that organisation stating the work undertaken, the period of work (in years, months and days), the responsibilities of the post (if work has been undertaken in different posts in one institution, the responsibilities should be stated separately for each) and the number of staff at the workplace.

(d) If work has been undertaken in a national or international association or society, a letter from that organisation stating the work undertaken, and the period (in years, months and days), and the responsibilities of the post (if work has been undertaken in different posts in one institution, the responsibilities should be stated separately for each). This letter should state whether the position held is a salaried position or not, or alternatively, an official letter from that organisation confirming this.

(e) If work has been undertaken in a dissolved state institution, or in a dissolved private company or private organisation, or in a dissolved national or international society or association, and a letter from that office stating the work undertaken and the period of work (in years, months and days) and the responsibilities of the post (if work has been undertaken in different posts in one institution, the responsibilities should be stated separately for each) cannot be obtained, the "Reference Check Form for Work Experience from a Dissolved Workplace" found in Table 8 of the Recruitment Rules.
